Fancy bringing your side, age group or whole girl's section to W7s?

Here is a step by step guide, as well as a couple of tips from those who have been before you.

Advice from Those Who Have Been Before

Step 1

Complete the ballot form, click here to access it.

Please only enter the sides that you know that you can fill. If you are successful and you cannot fill the places listed on your ballot form then we may give your entire ballot place to another team.

The ballot form isn't difficult, Woody just needs you to confirm your details and how many sides per age group you want to enter, we normally enter 2 sides for most age groups.

Step 2

If you are successful with the ballot then you will be emailed a link to the online shop. Via that platform you will be able to book your side entry.

You can't pay via the website, you will be emailed an invoice to allow you to pass it on to your tour treasurer or club treasurer.

Once this has been paid you will;

  • Receive a link to a Google Sheets Document
  • Be added to a WhatsApp Community
  • Receive a link to a secret part of our website. This section will allow you to see everything about W7s27, including food vendors and their menus, entertainment and campsite plan. This will be a live working part of our website, but it should allow you to have a good idea of what to expect. This is for your tour committee's eyes only.

Once this has been paid, your side entry is secure. You will need to order additional tickets per player and supporter but you have until February 2027 to buy them.

This event fills up very fast and the ballot is Woody's way to give everyone a fair chance to come. As a returning side we used to get our order in ASAP. It was easy because our players and parents wanted to return and knew that we had to get in deposits asap. We used to fund raise over the summer to help.

Step 3

Consider your accommodation.

If you bring your own tent then camping will be included* in the price of your individual entry ticket, this is not the side entry ticket.

We do have a 2 Team Dorms and 1 Club Dorm available and we work with Bellows Glamping to provide a luxury way to sleep at W7s.

Camping isn't for everyone and we understand that. Your individual ticket gives you free camping (Please note that you will be asked to confirm how many tents and their sizes - including guy ropes).

Some of our parents didn't fancy camping, with some booking Air B&Bs/hotels nearby and others hiring/bringing their own motorhomes. There is an additional charge to bring them to W7s but it isn't huge and, for some parents, was worth every penny.

It is important to work with Woody if your bringing motorhomes as they need to meet certain criterias. We missed this bit for W7s26 but lucky enough Woody or Mrs Woody is good at double checking things.

Step 4

In the meantime you can start to complete your entry form, a link to this will be emailed to you as confirmation of payment for your side entry.

It will be an online Google sheet document, this allows you to make amendments easily, allow us to see your progress and saves you printing and sending things to us.

You will have plenty of time to fund raise and collect tour payments as we wont close the online store until the end of February.

This form was really handy, once we realised how to use it. You can copy or print this form and use it as part of your tour paperwork needed for your club's safeguarding officer.

It also helps to use it from the start, it is a great reference point when buying the tickets.

However, some of the tickets are limited, such as the car park passes. So avoid upsetting parents and either plan to come via coach or minibus or make sure that you know how many cars you need ASAP.

Step 5

Book your tickets. When we say that the online store will close, we mean that we will literally shut down that part of our website.

You will now be asked to share the link, to the secret part of our website, with your whole touring party. Ask them to take their time to look around it to help them be best prepared. Please make sure this is not done via a public platform.

Once closed, any additions will need to be requested via email but we cannot grantee that we will be able authorise them.

Using the form will help with this.

Give the parents a deadline a week before Woody closes the online store and then use the numbers on the form to make your booking.

This also means booking your tents, car park passes and inflatable wristbands.

Just be mindful of adding the right amount of tents. Woody had to turn away a club due to concerns around space only to see some sides with loads of space. We assume they booked lots to give them additional space, which didn't go down well the other clubs.

Step 6

Locking your Google Sheet form.

At the end of March we will lock your Google form and use this information to send you all of your wristbands and passes.

Wristband and passes will only be sent for those listed on your Google form.

We may have said this a couple of times but start to complete your form ASAP.

This makes this step so much easier.
